Document Review/comment RRS feed

  • Question

  • I'd like to create a document repository that holds the current version of a document.  Also, allow people to view the latest version and add/remove and make comments.  But this new version be saved another place and not on top of the original document.  Later on, someone will go through all the reviewed documents and update the master doc.  People will have option to edit the reviewed documents as well.  Thanx

  • Hello Topoli,

I understand your question like the this:

There is a document library that stores some documents, there are some readers that may add comments to them. You want these documents with comments automatically delivered to some location, in order to help someone review all the comments from readers.

Correct me if I understood your request.

Assuming that you’re using Microsoft Office SharePoint Server 2007 (Please let us know the version of involved products next time, that’s very important.), there is my suggestion:

If your farm has  incoming and outgoing E-mail settings correctly configured. You could use a simple OOB workflow called “Collect Feedback” to meet your needs. The Collect Feedback workflow routes a document or item that is saved to a list or library to a group of people to collect their review feedback. Here is a step-by-step tutorial:

    Use a Collect Feedback workflow

In general, I think a custom workflow may help you realize what you need. However, I think some more information is still needed, for example the version of your products, a clearer process flow you want and other related information. Thanks!

  • Hi Topoli,

Unfortunately, Windows SharePoint Service 3.0 shipped with Three-State workflow only, while the Collect Feedback is one of the OOB workflows included in Microsoft Office SharePoint Server 2007.

However, with SharePoint Designer 2007, you get the ability to design custom workflows with which you may also realize the plan. For your convenience, I include a helpful article as below:

Collect data from a user in a workflow

Following the steps within the article above, I believe that you can design a flexible workflow to meet the business needs. For more workflows you can design via SharePoint Designer 2007, please refer to:
