SharePoint 2013 Site Collection Architecture (Permissions) RRS feed

  • Question

  • I'm confused as to how I should setup permissions for my current SharePoint architecture. It is currently a path-based site collection.

For example purposes, I'll draw out it out.

    Top Level Site: Root (root.sharepoint.com)

Multiple Subsites by Location - NY, NJ, PA (root.sharepoint.com/sites/NY, etc)

Subsites within Locations with different permissions: Under NY - Manhattan, Brooklyn, Under PA - Etc, Etc

Under Manhattan and Brooklyn would have separate folders for different departments. This would be as far as the tree would go down. I am not sure this is the best logical way to go about the structure, correct me if I am wrong.

Let's say I create two folders called Administration and Users under both Manhattan and Brooklyn subsites. Can you share permissions across the two subsites? So if I wanted several users to only have access to both Administration folders and the remaining users to only have access to just the Users folder.

    Any insight is appreciated.

  • if i understood correctly then you need to have unique permission over site collection and sub-site hierarchy where user might have unique permission on folders (list, library etc.)

if you need to do this manually then please go to site collection - site settings - permission & groups

    - click on "Stop inheriting permission"

    - Remove unwanted groups and users, and here you can either create your own group with permissions and add users in group

    - you need to perform this activity at all the levels where you want unique permission (e.g. Site Collection level, Sub-Site level and List/Library level)

  • If you want create sub sites for Manhattan /Brooklyn under new York then

    • I would create one site collection for each location i.e NY, NJ, PA ...
    • then create subsite for Manhattan, Brooklyn under ny and so on
    • Now create sharepoint security groups for each sub--unit i.e Manhattan Brooklyn etc
    • Now configure each subsite with unique permission.

But if you want just document library for Manhattan / brooklyn.

    • I would create one root level site collection and sub site for each location i.e NY, NJ, PA ...
    • then create Document library and create one folder for each Manhattan, Brooklyn under ny and so on
    • Now create sharepoint security groups --unit i.e Manhattan Brooklyn etc
    • Now configure each folder with unique permission.

how to set the unique permission on folder check this video.
