What is the difference between SP Alert and RSS Feed? RRS feed

  • Hello,

    Based on definition both are notifying the updates on item, then what is the difference ? Is it so that RSS feed only notifies about the addition of the item while SP alert is used to configure any kind of change on the item?

    Per my test, there are several differences between the Rss feed you subscribe and alerts.

    RSS feeds provide is a description of each object in the feed which provides a better idea of its contents than simply receiving an alert containing the title of the object. You can edit settings to show required columns of item. And simply subscribe the feed will create new folder under the RSS Feeds in your outlook. So it is much easier to find updates in the feeds and manage all the notifications without extra work. 

    For your question: 

    1. The Rss Feed update only shows new items. Modification/deletion will not create feeds in your outlook folder. 

    2. It notifies users continuously, you can change the update limit in your outlook settings.

    3. Alerts do not show much information about metadata of the files/items. It focus on what changes have been done. RSS feed have the flexibility to show more information about the item itself, while not tracking all modifications.

  • SharePoint Alerts are only generated on lists and libraries. RSS feeds are just a display of external content. There is no out of the box feature to sync or import RSS feeds. Yes, SP alert can be configured for any change in the item.

    RSS feed simply shows the new contents/news from external sites.  Alerts works on changes made in your list/library. When an user create/update/delete list item or documents. the alerts will be triggered and send emails to specific users. 

    You can set up an alert for a list, library, folder, file, or list item. For example, you can set up an alert for a specific folder in a library, without receiving alerts when changes occur in the rest of the library. 

    You can get an alert whenever a file, link, or folder is changed in a SharePoint Online document library. Depending on the item (file, folder, link), you may see different options when you set an alert.

    Thank you for looking into this question!

    Actually, I am mentioning here "RSS Feed" option we have under Library tab in classic ribbon bar and not  RSS viewer webpart.

    RSS feed basically sync the library with outlook, I am wondering, on what way it differs with SP Alert ? does it notify to user when item is changed/added as it's done by SP ALert ? Is it just a one time sync or notify users continuously ? What RSS feed does which is not possible by SP Alert?

    Please see the below detailed explanation on both:
    RSS Feed:

    RSS is a technology that enables you to receive updates in a standardized format from several sites at once. RSS feeds appear in an RSS reader with updates and subscriptions from other sites.
    You can view and subscribe to RSS feeds for a list or library, or even a view where you have filtered the information or customized the columns.

    RSS feeds help you to consolidate updates from different sites in an RSS reader. RSS feeds come at periodic intervals, and appear in an RSS reader, where you might already manage subscriptions to other types of information, such as headlines from news or blog sites. There are several types of RSS readers, including stand-alone readers, browsers such as Windows Internet Explorer, and e-mail programs such as Microsoft Outlook.

    List Alert:

    This will be at user level and will be notified immediately. List alerts can be added by event reader but RSS Feed only works with contributor and above.

    Having said that RSS feed is a "RSS feeds help you to consolidate updates from different sites in an RSS reader". This is not possible in SP alerts.

  • What exactly happens when user subscribe the RSS feed of library? does it sends updates to user in outlook ? What kind of updates ? when item is changed/edited/added or deleted?

    However, what I noticed just now that, If document is updated, then it's being notified into outlook via RSS feed, I would probably check what happens when it's added or deleted? and then still question arises that if RSS feed can send the updates at doc library level to user in outlook then what's that thing which is possible by RSS feed and not possible by SP Alert? When one should use RSS Feed option at library in terms of getting updates in outlook?
