  • Hey guys, my executive team wants an individual to help develope agile business/clinical tools for our organization. Looking for a place to start since these skills are quite rare.

    BACKGROUND: I am a Clinical Data Analyst, my background is in bedside clinician, educator, and administrator for the Department of Defense and business consultant for various institutions after I left the military. I self taught how to build access tools to improve my workflows/productivity. If you've been following my other posts, you'll also know that my applications received attention from the departments and eventually we want to deploy similar tools throughout the organization to improve workflows of our managers. Essentially we would like to do without huge cluttered Excel files and copious amounts of emails with reports from all different sources.

    Alongside me there is an industrial engineer, who is lean six sigma certified and also programs with access. Together we want to spend more time analysing institutional needs, developing plans and have an access developer do the programming we are currently doing ourselves.

    Hi InnVis,

    I am anxious to know what kind of agil tools you have in mind, not as regards the content, but more HOW they are used.

    Will the users have tools wherein they self can develop their instantaneous wishes? Or can they only use the flexibility that is built-in in the tool?

    It is my opinion that when users can go in ANY development mode, you loose control on what happens with all the code and the data, and you can better stop with such a project. This apart from the fact that in your case you work with sensitive data.

    So the only way to go is a very flexible tool, that can handle all coming questions and analyses, or at least is able to be adapted to do that, in an “agil” way.

    Can I conclude you want to develop an agil RAD-tool?

    Hi InnVis,

    What are your thoughts on this moment to take which direction on the development path? Which parts must go "more agile"?

    A long, long time ago I shifted to generealized forms, resulting now in dynamical forms, based on one form-template, and tuned with some (generalized) code.

    That really speeds up the development of new or existing applications. But it is not standard-Access at all.

  • I have worked very hard to make the backend's data behave in a way that is very dynamic. For example, we have a lot of construction going on in my organization where departments needs to move from floor to floor and sometimes split between floors until their new "building" is completed. For reporting purposes our database used to call those departments by a name or a floor, but when some departments split between floors and their name is not unique (hard to explain without knowing the organizational structure), then it took a lot of work to develop queries that pulled data for the specific departments. My solution was to structure a database that was structured (and this is just an example) as follows: Facility --> Executive Group --> Cost Center --> Department --> Department rooms. With this structure I could allow front end users to assign/reassign departments rooms, departments, cost center, and executive groups rationally to the facility. So if business operations ever changed, then the front end user can alter their data without needing the developer to go into the backend and modify the structure.

    Again, our operations are quite complicated and truly require someone that can grow into learning what we need and how we operate - i.e. that's what makes me a unique asset because I am a clinician/administrator that can program databases. I understand what you mean by creating dynamic forms, but the needs for each level of administration are so unique that sometimes a customized front-end is the way to go. The BIG PICTURE, is to assess the facility's needs within the organization by identifying inefficiencies through a lean six sigma approach. Myself and our industrial engineer will do this and develop a draft on what we want the tools to accomplish. Then we want people who can program these Access front ends, and PowerApps to interact with our existing structure in SQL to solve a particular problem/need. To make matters more interesting, as we move from department to department and facility to facility, we realize that the needs of one department are dependent on another department which then evolved our work from individual tools to dashboards that have multiple tools within them and each department feed each other with their appropriate needs.

    The problems we are experiencing now are that after we do our very lengthy analysis of the problems, then we have to begin programming. Between the time we analyze and develop, there is a lag in time that is only extended by our limitations as "programmers." I spend a lot of time trying to acquire help from the forums on processes I get stuck on and then I have to censor my post to what my actual needs are because I don't want to reveal too much about my organization for political reasons. With a full-time MS Access developer, such as this community, we can speed up and streamline this process to the point where we can make a HUGE impact in the industry. I am looking to publish some of my work/studies regarding the outcomes our tools have facilitated.

    Thank you for the extra background. I have read it with very much interest.

    The demands for a RAD-tool where I can very fast develop "any" database application is quite different from building a flexible tool for Six Sigma analyses. But …, it could be one of the "any" applications.

    It remembers me some 25 years ago. I was working as a chemist in the research of integrated circuits, and started a program to monitor the complete production process for these circuits, including a Statistical Process Control module. My boss was very interested in the SPC results, and wanted every day a complete overview of all the details of SPC. So he got every morning some 100 A3 papers, spent at least an hour to rfead it through, and mark the Out-of-control's with a yellow marker, to discuss it with the other management members. I had many, many discussions with him that it was far easier to produce a list with only the details of the deviations. Waste of time, waste of paper, waste of yellow marker: he insisted to have the whole overview.
    Nowadays I hardly make large overview reports, but make forms that signal the items where "action" is needed.

    For the dynamic forms (they are customized) I need the automatic generation of SQL-strings depending on the context. For that purpose each record in any table has its own unique ID, for instance for the Department Rooms. This ID can be used independent of naming, location, hierarchy branch, etc. I see higher hierarchy levels only as means to combine underlying data for a more general overview. But it could be a hell of a job to realize that this is the needed hierarchy structure.

    But am I right that you have a large database where all kind of Department Rooms enter data regularly of all kind of parameters. You and your crew then analyze (or automate the analysis of) all these data to generate reports/overview for all kind of levels in the Facility?

  • Yes, exactly! To expand on that, we also ensure that the tools we provide the users, is more efficient than the current tools they are utilizing. The workflows and datapoints constantly change, so we adapt our tools to the industry's changes.

    For example, currently our floor managers receive upwards of 10+ automated email reports with data they have to validate or address on top of their every-day responsibilities. I would be lying if I told you that their job is possible because it isn't - just not enough hours in the day. What ends up happening is, our executive identify a problem and create an intervention --> our managers then become aware of what is being tracked and focus on the metric being measured, and in doing so slack on previously tracked metrics. The numbers for our metrics begin to look "good" so we identify a different problem, only to realize later that as our managers focus on the new metric the previous metric begin to decline once again.

    The initial step is optimizing workflows and once that is achieve, utilize our tools to obtain the highest quality data possible. We are doing some pretty amazing things, for example we have a way to pull reports from our main system and securely/automatically extract it into our database in near-real-time (+/- few minutes/seconds) for our staff to analyze and report.

    Our access tools are used not only to optimize workflows, but also as a work-around of our current main system's flaws in adapting to changes (i.e. reports, etc.).
