Resources shared between two or more sites? RRS feed

  • For over a year and a half we have been using Office 365 for SharePoint. Recently we have added Project Online (we have all three license groups). We have one Project site set up for our IT department. We are syncing with our Active Directory and we are using AD groups for permissions/resources.

    There is now a desire to add other project sites to our tenant for other departments. For example, our HR department. I know there is a limit of 7 sites per tenant.

    My question is, can resources from one site be shared with another site. For example, if we set up an HR Project Online site and we have a joint project that will use both HR and IT resources, can the HR site use IT resources, or do they need to be set up uniquely within the HR site? Ideally we could share, so if an IT resource is already allocated 100% on the IT site the HR project manager would know they cannot allocate 25% of their time without negotiating a reduction on the IT site.

    If this is possible, is there any documentation on how to sync these resources between two or more sites?

    The resources would need to be added to each PWA site where there are required so the resource availability / assignments are unique to each PWA site (HR / IT etc.) If you need to share resources availability between departments can't IT / HR etc. use the same PWA instance? If IT and HR have different config requirements you can use the Department functionality in Project Online to split out the configuration. If data security between environments is an issue you can use the permission model to restrict the access (probably need Project permission mode - depending on your requirements).
