Add an Email Workflow in PWA on Project Server 2010 RRS feed

  • We have Project Server 2010 installed. I am new comer to Sharepoint platform. I have created a List in PWA with a column name,say Follow-Up Date.

    What I need to do is, trigger an Email to the Project Manager when this date is reached. When I go to Add a Workflow in Workflow Settings of that list, in the Workflow section I have the following list:

    1. Disposition Approval
    2. Three-State
    3. Collect Feedback
    4. Approval
    5. Publishing Approval
    6. Collect Signatures

    I tried all of them but I didnt found any of them which will help me out to trigger a Email.

    Can you please tell me if have to activate any other feature or any other step that I am missing.

  • Hello, Why is the out of the box feature of alters not sufficient? What are you trying to achieve, can you provide more information please? This article is for PS2007 but the process is the same to setup alerts : Regards,

  • Hi,

    If you are after a workflow to alert the PM when you hit a certain follow up date, I am not sure the out of the box workflows or alerting will do what you're after.

    Have you looked at SharePoint Designer workflows which enable you to create more powerful and customised workflows that you would get out of the box. You can download SPD direct from your SharePoint ribbon in many cases and it's free ( Off the top of my head I am not sure whether it will meet your requirement, but it's the logical next step.

    Thank for the Reply.

    I visited the link you provided, but the conditions available are general like "When a new task is assigned".

    What  I am trying to do is create a Site Template which I can deploy it at a global level for all the Projects as the default template.

    I started editing the Project Site of Test Project where I have created a list with a column Follow-Up Date. Now I want an email to be triggred to the Project Manager of that Project when this date is reached.

    I hope I am clear. Please revert back for any clarification.

    Thank for the Reply.

    I visited the link you provided. When I added a new Workflow in SP Designer, I got and error "Unable to load the workflow actions from the server. Please contact your server administrator."

    When I digged a bit on Web I found that the WSS.ACTIONS file may be corrupted. I edited the file and tried again but I got the same error.

    Then I found out that, when I open this file on server it is in Well Formed State. But when i copy the same on the client machine and open it there is some unwanted material that gets added to it.

    Do you have any idea what may be the problem?

  • No, if you are running Project Server 2010, then you must already have SharePoint Server 2010 Enterprise Edition installed, there is no need for the SPF to be installed.

    As for your problem with SharePoint designer, sorry, I don' t have a solution for you. When I just tried it in a PS2010 site environment, it worked without issue.

    Do you have access to another SharePoint farm you can test your workflow on?
