Configure Incoming mail in SharePoint 2013 RRS feed

  • Hi 

    I need to configure Incoming mail in SharePoint 2013. I have 3 tier architecture (1 web front end, 1 App server and 1 Database server)

    To which server i need to configure the incoming mail  and what are the ports to be enabled in firewall and the pre-requisites required? Kindly provide the steps to achieve this

    This can be configured in any Server in your Farm depends on the Target Audience. use WFE for safer side if your farm facing Internet.

    Below are step by step guides which will be leading you to complete this activity.

    1. Install and Configure SMTP Service on SharePoint Server

    2. Open SMTP Port between your SharePoint Servers and Exchange Server

    3. Create Connectors in Exchange

    4. Configure SharePoint Server and Library to receive Emails

    5. Test it out !

    You can configure on app server as most considered way like all the service should be point out to app server and our WFE server will be responsible to serve users web request.

    When we configure the Inbound email service for SharePoint we can configure the Directory Management Service as well, in this feature, you no need to create manual email account in Active directory, SharePoint automatically will create the email contact for each SharePoint List or library email in AD, you have to provide the AD details on SharePoint Central Admin, email configuration page, please follow the steps given below.

    Directory Management Service:

    The SharePoint Directory Management service connects SharePoint sites to your organization's user directory to provide enhanced e-mail features. The benefit of using this service is that it enables users to create and manage e-mail distribution groups from SharePoint sites. This service also creates contacts in your organization's user directory so people can find e-mail-enabled SharePoint lists in their address books. However, using SharePoint Directory Management service requires more management because it is communicating with Active Directory Domain Services (AD DS).

    What we need to do:

                • If you want to connect to Directory Management Service, in the Directory Management Service section, click yes.
                • Verify that the user account that is performing this procedure is a member of the Administrators group on the server that is running the SharePoint Central Administration website.
    1. In Central Administration, click System Settings.
    2. On the System Settings page, in the E-Mail and Text Messages (SMS) section, click Configure incoming e-mail settings.
    3. If you want to enable sites on this server to receive email, on the Configure Incoming E-mail Settings page, in the Enable Incoming E-Mail section, click yes.

    If you select this option, you must first configure Active Directory Domain Services (AD DS). If you use Exchange Server, you must also configure the DNS Manager and add an SMTP connector. For more information, see Configure AD DS to be used with Directory Management Service, Configure DNS Manager, and Add an SMTP connector in Microsoft Exchange Server 2010 later in this article.

    1. In the Active Directory container where new distribution groups and contacts will be created box, type the name of the container in the format OU=ContainerName, DC=domain, DC=com, where ContainerName is the name of the OU in AD DS, domain is the second-level domain, and com is the top-level domain.

    you need to get the following details from AD team that we need to configure from SharePoint Central Admin, something like that, here your email contact for each SharePoint list or document library will be get created and when you will change the email for any SharePoint list/Lib, automatically update on your AD and list/Lib will get the email

    OU=Sharepoint,OU=Sharepoint,OU=DOMAIN,DC=domain,DC=pas,DC=local

  • Hi

    I configured incoming mail using basic scenario in my web front end server. But unable to receive mail in DROP folder. 

    Do i need to to it use advance scenario ?

    As stated in the other Post, better try it in the advanced mode with Exchange Connector.
