Project Server Track Cost RRS feed

  • Question

  • Hi All,

We are using project server 2013, we are not tracking resource (work/material) cost. But at each milestone a fixed amount need to be paid to the vendor based on the payment terms. What is the best way to track the amount paid and the balance.

    Thanks in advance, Taj

  • Hi Taj,

Evenif you don't use resources, if you want to track vendor's costs, I'd suggest to create cost resources by vendor name and to add costs assigning those resources on tasks/milestones. You should use the cost, actual cost (amount paid) and remaining cost (balance).

  • Hi Guillaume,

Thanks for your response, there are 50 active projects are there and each project will have around five milestones and each milestone different vendor will be involved. In this case how to add as cost resource and track it. Also we are feeling the cost tracked through schedule will be visible to other users. Is there is nay workaround to track the cost e.g. using custom field in PDPs.

    Thanks in advance, Taj

  • Indeed managing costs in the project file will allow any user accessing the file with Project Pro to access the costs. Note that team members that only access the project through PWA might have access only to non costs views.

Creating project custom fields (vendor 1, cost 1, vendor 2, cost 2...) in order to manage costs in PDP won't help since the fields will also be visible in the project information dialog box in Project Pro.

Then I suggest to make custom development in order to manage costs from a custom DB in a secured PDP.

    Hope this helps.
