  • Hi,

    How to create a SharePoint Designer workflow that sends an email with a link to current item of the list.

  • Assuming that you know how to create the workflow itself and that you are just trying to get the URL into an email message.

    Use the Send an Email activity.

    Enter your To and Subject.

    In the body enter:
    <a href="http://<ServerName>/<SiteName>/lists/<ListName>/dispform.aspx?ID={<ListItemID>}>Link Text</a>

    Where it says {<ListItemID>} in the above line, use the Add Lookup to Body button to add a reference to the items ID.

  • This solution provided by Microsoft is so hacky. I can't believe they accepted something like this. If the server name changes or restore to a different server the emailed links will be broken.

    Then use DNS and Alternate Access Mappings to set it straight.

    Point SharePoint.Domain.com at your SharePoint server and then replace <ServerName> with "Sharepoint.Domain.com" so you would have:

    <a href="http://SharePoint.Domain.Com/<SiteName>/lists/<ListName>/dispform.aspx?ID={<ListItemID>}>Link Text</a>

    And don't forget to add SharePoint.Domain.com as an AAM through the Central Admin site.

  • Add a "Send an Email" Action, and click "these users".

    Select where you want the link to the item to go in the text comment field, and select Add or Change Lookup.

    Change the "Data Source" to "Workflow Context".

    Change the "Field from source" to "Current Item URL".

    Click OK, etc.
