Send document set to record center, ends up as .zip file RRS feed

  • Question

  • Hi,

I'm trying to use document set witch seems to be a great feature of SharePoint 2010.

I have set up a record center and defined rules for my document set content type. The problem is when sending a record set to the record center (using send to), the document set ends up as an .zip file in the drop of folder of my record center. When I check the content type of the zip file it has an new content type with the same name as the original content type of the document set but with the "(packed)" (not sure of the English word, I'm using Swedish sites..). The content type is an hidden content type so I can't use that for routing.

Is there any way to get the .zip file unzipped and the original document set routed to an document library in the record center?

    Any suggestions are welcome...  :)

The solution proposed by Michael solved my issue.

    Thanks!

PS: I am using the option to move and leave a link with the send to option.

after the document set was moved from the drop off library to his final location I found out that the links still reference the zip file in the DOL, being unable to get to the document set from the original location through the link.

    Hey Alexandros!

This does also work but what happens is that when the link is created you get a URL that contains the document ID and a hint url. If you send the peice of content to another site, site collection or web application SharePoint loses track of that Document ID.

Therefore you must run an incremental crawl in search that will find the document ID, which will in turn make the link work, regardless of where the document is routed to.

Try that and let me know!

  • Did you configure documents sets in record center?

  • Yes, I ‘did set up my document set content type in the record center, by first enabled the document set feature and then created an rule for my content type. The file that ends up in my drop folder (the zip file) doesn’t match my rules since the content type of the file is not the same as my rule...

  • Hey all!

Actually what happens is that the document set is sent to the Record Centre as a zip file, is deposited to the Drop Off library, and then when it gets routed to its final destination will become a full document set again.

Doc Sets are routed using a time job called 'Content Organizer Processing' which is defaulted to once per day. If you run this timer job you should see your doc set routed, and expanded back to being a document set.

Let me know if you have any issues!

    Thanks!

  • Well that effectively solved the issue.

after the crawl was run, the link become usable again.

  • Hi there,

I'm using SharePoint Online. Do you know if SP Online has similar functionality?

I am getting docs routed to my drop off lib as zip files also.

But my content rules are not firing on the zip files to move them to my target library.

And the retention policies that I've scheduled are not working also.

    Thanks,

    Carlos

  • Hi Michal,

As you have mentioned above, the document set is being stored as Zip file in DropOff Library and when it is being routed to final destination, it is still being shown as Zip file but is not becoming full document set again. The document library which is the final destination has all the content types added to it and is exactly same as the document library from which this document set is coming from.

I don't know if I am missing any step to get the document set back to normal in final destination. Can you please guide. Thanks for reading :)
