SharePoint group is treated as one user or multiple users when sending mail?

  • We got request to make possible to send template mail from SPD2013 to more than 50 users at once. List of people will vary, so we cannot create ad distribution group, but we thought of SharePoint group.

    In SPD2013 workflow (that contains send mail action), in recipient we put SP group. Will it treat SP group as one user and send mail smoothly or will workflow break and won't send emails?

  • Hi Danny- that will work as long as you have it set up correctly. Not sure what the difference is between they types of groups though, since the people will vary, unless you're creating multiple groups for different scenarios.

    I suggest making an SP list with email addresses and some sort of identifier field, like category. Then in the SPD workflow, you can grab certain user email using that identifier.

    By using the Send an Email action in the Workflow Designer, we can set up a custom workflow to send e-mail messages to SharePoint group. The Send an Email action will send emails to all users in the specified group.
