Trigger email based on field changing to a value

    Question

  • In SharePoint Designer 2013, is there a way to trigger an email when a field 'Status' changes to approved?  In Designer, I see an Action selection of 'Wait for field to change to value' but it seems to not be triggering correctly.

    Wait for 'Approval' to equal 'Approved'
        Then email these users

    Does this work for anyone without using code but standard SD2013 functionality?

  • Add a workflow that has a statement that says if current list item "column1" changes or equals = "value" send an email to user

    You can use this link as well to follow along. Its more complex than you need but will cover the framework of what you are trying to accomplish

  • Hi TheTree- this should work. How do you have the workflow set to run? Please provide your workflow so we can check it over.

    According to your description, you want to send emails to users if the item is approved.

    The change of workflow status is not a change event of an item, so it will not trigger the workflow.

    To achieve this requirement, you could create a workflow and start an approval process in SharePoint Designer.

    Here are the steps for your reference:

    1. Create a list workflow with SharePoint 2010 Workflow platform type for this list/library, and then add “Start Approval Process” action.

    2. Assign the approval process to users.

    Set the specifications for whether the tasks should be assigned one at a time (in serial) or all at once (in parallel) are how you want them.

    3. Click the “Approval” process to custom the approval workflow.

    4. Click “Change the behavior of the overall task process” under Customization section. Then in “When the Task Process Completes” step, in “if Variable: IsItemApprved equals Yes” condition, add a send an email action.
