Workflow checkout to user RRS feed

  • Question

  • I work for a University Tech Service and we are setting up custom workflows revolving around a custom user field (owner).  We have set expiration dates for the documents and would like for the workflow to check out the document to the "owner" when it expires, but it always checks it out to "System", which creates barriers to the end of the process when the "owner" wants to check the document in.  Does anyone have a similar document expiration, assignment and review process or thoughts on automatically checking out documents to a user in a custom workflow?

    Our workflow does this:

    1. Checks an expiration date field

    2. If the document is expired, it is checked out and a task is assigned to custom user field "owner"

    3. The owner goes into SharePoint, edits the document, then tries to check it back in, but they can't because the System has it checked out....

  • There is no option to check out a document to a specific user.

Why do you want to do this anyway?  Why would the document get checked out to the owner upon expiration?  What's the purpose of that?  You definitely shouldn't auto-checkout the doc for the user - that's not the purpose of that workflow activity.  The only purpose of that activity is so that you can update metadata for a file in a doc lib that REQUIRES check out.  YOu don't need to check it out for the owner when assigning that task.
