Editing lookup field with numerical values in Projects Web Database Template RRS feed

  • Question

  • Greetings,

I'm an Access 2010 novice using the template mentioned in the title to store information about contracts for my organization and I'd like to expand on one of the lookup fields already included with the web database.

Under the Projects datasheet there is a lookup field labeled "Status" with five default options each assigned a numerical value.  I have not been able to edit this field to include more options (by clicking modify lookups), each time being rejected with an error that the server requires each list item must be assigned a numerical value, so I am seeking instructions on how to add items to this lookup field and assign them a numerical value.

After trying to make the change in Modify Lookups, where the first prompt shows the list including two columns but I am only allowed to edit one, my next attempts  led me to the properties sheet for a Form displaying the information in Projects, where I found the Control Source for Status to be the following:

    0;"Not Started";10;"In Progress";100;"Completed";-10;"Deferred";50;"Waiting"
I have attempted to simply add in the new lookup options I would like while following the syntax in Control Source, but the changes are either rejected or simply not saved.  I'm sure this information is stored and modifiable elsewhere, but I haven't been able to figure it out through time or web searches.

    Thanks for your time

  • Hi,

When I modified the Status field using "Modify Lookup," it took the new item I added.

  • Hi,

Sorry, I misread your original post. I thought you said you were able to display Col1 as well.

To show Col1, drag the column border on the left of Col2 to the right.

You can then assign a value in Col1 for the changes to save in the table.

    Hope it helps...

  • I can only see column 2, so any idea if there is a way to expand the number of visible fields in Modify Lookups?

If I change the number of columns to 1, I see no columns, and increasing the number also doesn't show the column you have above.

I'm apparently not allowed to post screenshots or links on the account I've had for years, so I can't demonstrate.

  • No kidding. Why wouldn't it have a visual cue for the hidden column?

I feel ridiculous for even asking, but thanks.

  • Hi,

You're welcome. I have no idea why either but glad we were able to assist. Good luck with your project.
