How to attach multiple records from global search results to an outgoing external email


  • Can anyone offer some ideas on the best way to attach multiple records, returned in a SharePoint global (enterprise) search results, to an outgoing external email.<o:p></o:p>

    The user requires a method to enable attaching multiple documents to an email, to an external recipient, from the SharePoint global (enterprise) search results. The global search is searching across multiple sites/sources. They are using the global search results as this provides the ability to preview and open a document so the correct document is attached. It is those actions which are critical in order to ensure correct documents are attached.<o:p></o:p>

    They don’t want to have to download each document and then upload to an email and then repeat those actions.<o:p></o:p>

  • Can you just send them the search URL string? Or is the external user not authenticated to your network?

  • Hi Instar- I agree with Stephan. Really don't think you want to attach multiple docs to an email anyway. That's a poor solution.

    Thanks for your reply. The email is to an external recipient who is not authenticated to our network, they are a consultant or customer of our organisation, therefore we cannot use the search URL string.

    This functionality can be implemented using a SharePoint App or a single page application. Create a search form with checkboxes for each of the search results (part A). Add a button that allows the JavaScript code to download the selected documents into a single zip file (part B) and then attach the zip file to a new email message (part C). This can all be done using JavaScript and SharePoint REST API.

    Functionalities B and C exist (for example see skip first 8 minutes). This allows downloading multiple files from SharePoint and attaching them as a single zip to a new Outlook email.

  • Instar - the functionality that you want won't be available OOTB - it'll need to be custom development.  Paul seems to have a good idea to try out.   Let us know how it works out!
