Hiding MS Project Task Info RRS feed

  • Question

  • Hi...we are developing a project schedule with labor/deliverables to 3 customers.  There are many tasks that are in common for all 3 and some that are different.  The cost of the total effort is being shared by 3 customers.    We would like to only use 1 MS Project schedule to cover all of the tasks for the 3.  We want each customer to only have the ability to view their portion of the schedule.  Is there a way to do this in MS Project?  Macro?  Thanks in advance.

  • mesheedy,

Sorry, no. Project does not have any functionality to selectively hide or lock any of its data, even with a macro. Depending on the type of data you wish to hide (e.g. cost), it may be possible to normalize the data (e.g. $1/hr instead of normal rates) but that's all you can do.

I suggest you create 4 separate files - one for the common tasks, and one for each of the 3 customers unique tasks. If necessary you can use cross-project links to provide a connection however using such links does open up the possibility of corruption. This can be minimized with proper file management.

When you need to create a file of the whole plan, create a static master by un-checking the "link to project" option in the lower right corner of the Insert Project window (Project > Insert group > Subproject).
