Incoming E-Mail with attachment not starting simple SPD workflow RRS feed

  • Question

  • Hello,

    We are having a problem with incoming email attachments not starting the workflow attached to the library. The workflow is generated by SPD and can be started manually with success. Has anyone had similar problem? The domain accounts are the same between the application app pool and the Sharepoint timer services. Thanks in advance.

  • Still not able to figure this one out.. Any ideas?

    I think the problem occurs because adding the attachments uses the SystemUpdate mechanism instead of a user initialized update of the listitem. the systemupdate will not change the version, modified date, and therefor maybe not trigger the workflow. More info here: http://msdn2.microsoft.com/en-us/library/microsoft.sharepoint.splistitem.systemupdate.aspx. It's just a guess..

    Have you also tried to manually add an attachment to the library and check what happens then?

  • Thanks for the input. The workflow will run when uploading a document, just not when file is loaded via e-mail. So your guess could have something to do with some functions running with javascript when a button is pushed..

    The answer could have something to with permissions, I'm just not sure of the best practices for what account should run which service.

  • We're seeing this with our server after it was updated to MOSS 2007 SP1.

    We created a workflow in SharePoint Designer 2007 that is associated with a document library.  Incoming E-mail is enabled for the document library.  When an email arrives, the workflow is supposed to automatically run.  Worked fine before SP1.

    Now, nothing happens.  No error, just nothing.

    It's worth mentioning that the workflow in question works just fine when manually started.

    What's going on?  What did Microsoft change in SP1?

    So SP1 made it stopped working.. Have you re-attached the workflow again to the list jsut to make sure it is configured well? And are there any messages in the eventlog about this error?

  • Thanks for the validation hallrender.

    I have cloned two VM's, both running Windows 2003 Ent. Server, both running SQL 2005 Dev.

    Both have WSS3 installed and functional, the difference is the first VM does not have SP1 installed, the second VM does have SP1.

    Incoming and outgoing email and workflows have been configured and I've created a blank web application with one document library. I have enabled and configured incoming email the same on each VM.

    The same domain admin user accounts control the application app pool, wss3 central administration app pool, windows sharepoint timer services and have full control in the smtp .

    E-Mail attachments can be sent to both doclibs successfully. I've created a simple workflow using Sharepoint Designer that will fire manually or on document insert/change. The workflow does not have any conditions and the one action is to send an email to an outside the network email address. The workflow can be ran manually with success on each VM. The workflow will run when uploading or changing from the browser on each VM successfully.

    The VM without SP1 will fire the workflow on receiving an e-mail, the VM with SP1 will not.

    My last test is to update WSS3 to SP1 on the VM without and test.

    I'll post the results.

  • If that doesn't solve the problem, you should submit this as a bug to MS?

    Tuesday, January 22, 2008 4:26 PM
  • After applying wssv3sp1-kb936988-x86-fullfile-en-us.exe the incoming email workflow failed to fire.

    I will submit this as a bug to MS.

  • Hi!

    We noticed the same problem after updating to SP1. Do you got already a answer of your bug report?

    Monday, February 4, 2008 8:27 AM

    We have been working with MS support on this issue since last week. Still no word.
    Monday, February 4, 2008 1:05 PM
  • Has anyone received an update on this issue yet? We've also confirmed that it is related to SP1.
    Monday, February 25, 2008 7:51 PM
  • This issue has been officially verified as a "bug" from Microsoft. Supposed to be fixed with the next service pack or hopefully sooner.

  • Is there a hotfix available?  I can't seem to find anything on Microsoft's site (besides this thread, of course).
    Tuesday, April 15, 2008 10:05 PM
  • This issue is still unresolved as of April 16, 2008.

    Wednesday, April 16, 2008 3:19 AM
  • I realise I'm just clutching at straws, but has anyone heard of a hotfix being released for this yet?

    This is a very frustrating issue

  • Does anyone know if there is a hotfix to this problem?

    Thursday, June 26, 2008 11:47 AM
  • How do we track the status of your bug?

    Did you get a tracking Id from MS? Has this issue been resolved in a hotfix? Is there an ETA for the fix? What are the workarounds?

    Probably need to start a new thread with Sharepoint Infrastructure update issues, however, as this post is along the same lines as the original post I'll keep this going here until moved..

    I have installed the Infrastructure Update for Windows SharePoint Services 3.0 (KB951695) on a windows 2003 server that was migrated to WSS3 from SharePoint 2. This install of WSS 3 included service pack 1 for WSS3. This is the server that brought the "incoming email not firing SPD workflow" problem to my attention from the start.

    Initially, after applying the infrastructure update, workflows would fire on receipt of incoming email with attachment. However, after continuing my testing the workflows firing become sporadic, and finally stop firing. For example, if I include 5 attachments to a single email and send the email to a document library, only 3 of the 5 will fire the create event workflow.

    Is anyone else having similar issues?

  • We are still having the problem after upgrading to Infra Updates.

    After Infra Updates and running the stsadm command, SPD workflow are working for out of box Email Handlers(Announcements, doc libs etc) but not for  our own Custom Email event handlers.

    We have created an email handler for custom List(Tasks). The Email handler is creating an item in Tasks List but SPD workflows are not firing. Following is the code example we are using for creating the Email Handler.

    namespace Example_Namespace
        public class Email_Handler: SPEmailEventReceiver
            public override void EmailReceived(
                SPList oList,
                SPEmailMessage oMessage,
                string strReceiverData)
                SPListItem oListItem = oList.Items.Add();
                oListItem["Title"] = oMessage.Headers["Subject"];
                oListItem["Body"] = oMessage.HtmlBody;

    Can Some one please help on this?

  • In response to John Sunkavalli, I have not tried Infra Updates yet but am having the same problem as outlined in the above posts.

    I wanted to throw this out there in case it fixes anyone's issue:
    When I originally was trying to make the ItemAdded event fire from an email I was becoming frustrated that, during initial tests of added list items manually, the list was firing the eventhandler (ItemAdded) but the attached SPD workflow was not kicking off. I found a little thread somewhere that suggested I add the following to my code right after oListItwem.Update;

    This worked great when I was doing ItemAdded. After realizing why my email wasn't firing that same ItemAdded method (thank you Todd Bleeker of Mindsharp.com! (Come back to Tallahassee any time:) ) I began to use the EmailReceived event instead. Email is received and I am adding it to the list. Well, now my attached SPD workflow isn't firing again. I have reattached it to the list and still nothing....

    I don't know if it won't work because the EmailReceived method somehow doesn't like WorkflowManager.Dispose() or if I have some other kind of code issue. However, it might be worth it for some of you people to see if this fires off your SPD workflow!

    <notSarcasm>BTW, I love this SharePoint stuff. I actually am having fun in my job again! </notSarcasm>

  • @J.Amen

    Hi - I'm running sharepoint farm upon (Infrastructure update) and i'm facing exactly the same issue as you have mentioned above. The SPD workflow that i created for an e-mail enabled LIBRARY gets triggered sporadically when items gets added through e-mails. It is all good when I add items manually and not by sending an e-mail attachmend to the library.

    Were you able to fix this? I would really appreciate if you can please let me know.

  • I found this article here with detailed instructions on how to fix this exact problem with an update.

    The article provides two links from Microsoft about solving the problem specifically. Depending on which update you have, you probably need both of them, but it is explained well in the article above:

    Hope this helps, I think it should.
