  • Question

  • We have a shared document in Portola's SharePoint site and an error message is being received that states the document is open by 256 users and that a max of 256 users can have the document open (see attached). I confirmed with my team that no one else has the document open.

  • can you open the document? if so save as a different name and re upload. That seems like an issue with the actual document more than anything

If this is helpful please mark it so. Also if this solved your problem mark as answer.

  • Hi, Raghavender,

Your file could be corrupted or it could be an issue for Excel not correctly detect users closing the file. Just as taylor said, try to save it on your desktop. Open it and "Save as" with different name and try again.  A workaround about this is saving the file to local and then upload it to server to replace the older on in sever.

    Best Regards

  • Hi There ,

There is a lock mechanism by which sharepoint locks the documents internally . When this lock is enabled , you will get messages like that somebody else has already opened the document or using the document . Wait for some time for sharepoint to release the lock and the properties of the document will be restored to normal .

This lock is used as a security mechanism by sharepoint

    Regards ,

    JP

  • Just to add to this, the file lock is in place for approx ten minutes and will need the colleague that's opened it to have closed for approximately this length of time.

I'd also double check to see if anyone has used the Share Function to accidentally share this with a wider group of people, even the "Everyone" groups that ship with SharePoint
