Sharepoint Online - Customize Email Alerts. RRS feed

  • Question

  • Is there a way to customize an email alert with SharePoint Online?  I know there is a way for SharePoint on-premise.  The only solution i have seen so far is to install a 3rd party app.

  • Hi Benhdezjr,

On On-Premise SharePoint local server, the Alerttemplates.xml file is located at: Local_Drive\Program Files\Common Files\Microsoft Shared\Web Server Extensions\14(15)\Template\XML directory, so we can customize the alert template file on local server with server administration permission.

But in SharePoint Online, It is not permitted to customize the Alerttemplates.xml on Online server.

As Rajesh mentioned, you can use Send an Email action in workflow. But it cannot send notification emails when items in the list/library are deleted. An alternative, develop a custom solution or deploy third-party solution.

  • SharePoint Online does not support edit alert email template, alternatively you can use workflows and use SharePoint designer to customize the email.

  • Hi, Rightly pointed by Rajesh that little customization is possible with designer workflow. If you are looking for heavy customized templates. You may try with Webapi service email notification in combination with Sharepoint 2013 workflow. You can keep the email template into a document library and fetch it dynamically. For one of my project I have already implemented the same.

    Hope this help.

  • Agreed with above suggestions.

If you are open with third party, you can checkout this SharePoint auditing tool which should be an ideal solution to work around your situation.

Organizations who want increase their visibility as to what's happening in their IT environments but are perhaps limited on time, resources or budget. Lepide 2020 audit & change control suite provides instant access to see who, what, where and when changes are being made to Active Directory, Group Policy, SQL Servers, SharePoint, File Servers, Exchange Servers and more.
