SharePoint 2010 List - Append Changes to Existing Text - multiline text fields being duplicated

Unanswered SharePoint 2010 List - Append Changes to Existing Text - multiline text fields being duplicated

    Hello!

SharePoint 2010 - I have this same problem for all Lists that use the combination of 1) Multi-line text column; 2) Column is set to "Append Changes to existing text"; 3) Text choice = Plain Text or Rich Text or Enhanced Rich Text. 4) List item is modified in datasheet view

Each time a list item is modified in datasheet view, if the multi-line text column is left blank it will have it's previous value duplicated. For example - If I'm updating a list item in Datasheet View and updating a column other than this column I described above, each time I make an update to the list item the previous value/comment left by someone else in that column will be duplicated with my name attached along with the date.

Why is SharePoint duplicating the contents of this field??

    Example:

Comments (multiline text column): Comment 1
    Miguel Patey 10/3/2011 2:12 PM

Comments (multiline text column): Comment 1
    Miguel Patey 10/3/2011 2:10 PM

Comments (multiline text column): Comment 1
    George Pully 10/1/2011 8:45 AM

In my testing I noticed that a list item that is modified in standard view (not datasheet view) will not duplicate the value of the Comments field if left empty. Once the item has been modified in standard view I can make changes to that list item in datasheet view and the Comments field won't be duplicated...

    Any ideas?

Do I need to open a ticket with Microsoft Premiere Support?

    Hello Michael,

I'm facing the same problem as you describe. Have you, in the meantime, received an answer from anyone on your question?

    Regards,

    Dieter

    Hello all,

I'm facing the same issue. However, I have about 40 different views configured on this list, and i'm not sure if any of them was created from the Datasheet View Format. I also have versioning enabled with no set limit of versions to retain, so I have the same comment showing up multiple times from the same or different editor. I'll continue searching and post back if I find anything.

    thanks,

    Grant

    Hi All,

I have the same issue in Sharepoint 2007.  Updates using the datasheet view create duplicate entries in the comments field (set to append changes to existing text).  Has anyone had a response to this or can suggest a fix?

    Thanks,

    Paul.

I think what you are describing is how the "Append Changes to Existing Text" functionality has always worked - back to MOSS. Every time the item is saved, whether or not the "Append Changes to Existing Text" column has been updated, you get a new "value", though it is empty if the column didn't have anything typed in it.

    Is that what you mean?

    Hi,

i am getting the same "functionality" is there any way to stop this?

We are using this functionality for comments. So we need to know who was the original commenter and not the person who changed something on the item?

We had these same issues (previous comments being included in all subsequent updates, as well as blank entries when no comments had been entered yet). We had been using "Rich Text" as the text type for that field, but once we switched it to "Enhanced Rich Text," we didn't have that problem any more with new comments. The old comments still showed duplication of previous comments (and blank entries), but now the new ones do not have that issue. Does this work for anyone else?
