Incoming emails are not showing up/disappearing in sharepoint document library

  • Hi All,

    I have Exchange 2007 Hub transport server & mailbox servers.

    Scenario: Email is being sent from an internal sender to a Mailbox A, which is configured to forward emails to Mailbox B and Mailbox B is configured to forward mails to a document library of sharepoint.

    Now, this works fine.

    Note: When i send as a user to mailbox A, mails are ending up in document library.

    However, When a sharepoint server is sending alerts from a ficticious eamil address Sharepoint2007@abc.com to Mailbox A, these emails are not showing up in document library.

    As part of troubleshooting i performed message tracking and see that mails have gone out of exchange hub transport server. To confirm i checked and the smtp logs on sharepoint server which clearly indicate that mail has been recivied by the sharepoint server but emails are not showing up in document library. To remind, mail are ending up in document library when i send a test email from my mailbox, it is just not working when i send it from a ficitious email adreess like Sharepoint2007@abc.com

    It's still early here so I might be missing something...

    The outbound mail will be from Sharepoint2007@abc.com and To: DDSPemail.

    both clips of the SMTP log are showing the outbound, not the inbound, right?  If so, where's the evidence the e-mail got to the sharepoint server?  might be stuck in a queue or something somewhere else?

    If not the sharepoint processes need to pick this up...would check the uls logs in sharepoint as well.  By default in-bound mail is processed every minute if memory serves.

    Thank you for looking into this.

    Both clips of the SMTP log are showing the outbound, not the inbound, right? 

    Sharepoint2007@abc.com is the email address where the mail is coming from MAIL FROM tag in the smtp log indicates the same.

    RCPT TO indicates the email has been delivered to sharepoint server RCPT - +TO:<DDSPemail@SPSXTLC03.expub.com

    BDAT says data is coming from exhcplc01.abc.com and then quit's

    So mail is being recieved by sharepoint server. As these smtp logs are from sharepoint server.

  • Hi guys, I am having the problem described above, where emails sent to the sharepoint email sometimes appear in the list but usually not.  Here is an example of the logfile.  And I can not find any difference or consistancy of why some go through and others dont.

    I am sending an email from my email, to the sharepoint list email, it looks like the server is getting it, but this one never appeared in the list, and is not in any folder in mailroot.  Looked in the event viewer and 14 Logs for any errors but dont see any.  Any ideas at all, not sure where to go from here.

  • Just came across the answer to this.  The subject line in the email can not be duplicated in the list for sharepoint 2010...  Is this a bug?  It seems a lot of emails will have duplicated subject lines, and I dont see an option to change this.

  • Hi Ryan,

    Not sure where you came across an answer that subject lines can't be duplicated...I'm tending to place those in folders (option when you set up the list for incoming e-mail), and the resultant duplicate subject-line emails that follow land in the folder.  I'm finding the users like it better since they are auto-grouped together.  You do of course have to strive for descriptive unique subject lines...i.e. begin the chain from sharepoint with a unique id, everyone I've ever seen either replies or forwards the e-mail.
